Direct answer

A practical contract register template should identify each agreement and its source, supplier, owner, status, scope, sites, effective and expiry dates, notice period or deadline, renewal type, value where relevant, document location, review state, next review, and notes. The template below separates source dates from internal review fields and includes explicit missing/review states so incomplete information is visible rather than guessed.

How to adapt the template

  1. 01

    Define scope before importing

Write down which entities, agreement types, statuses, and document sources belong in the first register. Do not turn every file in a drive into a row automatically.

  2. 02

    Agree the field definitions

Document what each status and date means. Decide which fields are required, conditional, derived, controlled, or free text.

  3. 03

    Review the synthetic example

The XLSX includes one clearly marked example row to demonstrate formulas and formats. Remove it before importing live records.

  4. 04

    Import in reviewable batches

Use source and review columns to preserve uncertainty. Resolve duplicates, drafts, missing owners, and conflicting dates before relying on reports.

  5. 05

    Create an update routine

Tie new contracts, amendments, ownership changes, renewals, and closure to a named register update process.
